Many teams assume their cloud data is safe because it lives in the cloud. That assumption is risky. A strong Microsoft 365 backup plan is now a baseline need, not a nice-to-have. Microsoft keeps the platform online. Still, you own your data. So when a file vanishes or ransomware strikes, recovery is your job to sort out.

Here is a point that trips up many teams. Retention and backup are not the same thing. Native Microsoft tools focus on retention. They hold a copy for a set window, then let it go. A true backup is different. It keeps a separate, restorable copy that you control.
Think of retention as a short grace period. It buys you a little time to undo a mistake. A real backup, by contrast, is built for recovery after a serious event. That event could be ransomware, a rogue insider, or a mass deletion. In those cases, retention alone will fail you.
